Position Summary:
The Entertainment Specialist will be responsible for overseeing the comprehensive planning, execution, and administration of various entertainment and special events throughout the property.
The Entertainment Specialist is expected to have a working knowledge and understanding of the industry processes with regard to the management hierarchy of touring national Artists as it relates to Tour Management, Production Management, conducting oneself around Artists and always exhibiting a welcoming sense of servitude and respect for all members of the touring party.
Primary Duties and Responsibilities:
Promotes superior guest service.
Maintains, and perpetuates a positive organizational culture according to the principles of the Spirit of Tâlícn and the Core Values of ilani.
Coordinates and facilitates the talent needs for events including rider requirements and advancement of show (pertaining to room setup, transportation, hotel & hospitality).
Provides support with entertainment, AV, and vested parties of the property day of show to ensure flawless execution of entertainment.
Assists with research of potential sports & entertainment opportunities in the applicable markets.
Assists in the development of entertainment strategies for the property.
Maintains coordination with applicable property internal departments including but not limited to legal, marketing, sales, finance, facilities, purchasing and I.T. regarding events and their successful execution.
Manages organization of contracts and preparation of payments with Accounts Payable.
Presentation of the bi-monthly expense forecast and month end reporting with support documentation to include expenses incurred for Hotel, Catering, Eurest Hospitality, Ground Transportation and miscellaneous.
Maintains financial aspects of an entertainment or special event including but not limited to, financial projections, expense tracking and processing, budget development and management.
Assists with reviewing marketing and social media content for all shows.
Maintains effective communication with outside entities in the entertainment field to promote company strategies and event bookings.
Works closely with the Entertainment Manager to deliver exemplary events.
Maintains confidentiality of sensitive information.
Performs other duties as assigned.
Minimum Qualifications:
Bachelor's degree and 2 years of Entertainment Industry or Event Planning Industry experience, or an equivalent combination of education and experience.
Must possess excellent interpersonal skills with an ability to foster a supportive and enabling team environment.
Advanced Computer skills in WORD, Excel, Outlook, PowerPoint, Event Pro, Stratton Warren, Adobe Pro.
Ability to coordinate entertainment & special event production in a multi- purpose facility.
Ability to effectively bring events to the facility to maximize attendance in adherence to budgetary plan.
Thorough understanding of Marketing, Public Relations, Special Events and Entertainment.
Must be able to work various shifts, flexible hours including nights, weekends, and holidays.
Excellent written and verbal communication skills.
Excellent organizational and multi-taking skills.
Excellent negotiating skills in an entertainment environment.
Must be able to lift 40lbs and stand for long periods of time.
Must be willing to work in a smoking environment.
Must be willing to adhere to company health and safety measures.
