Summary

We are hiring an Executive Operations Assistant to operate as a direct execution partner to leadership, ensuring that executive decisions, priorities, and cross-company initiatives are consistently translated into action. This role works closely with C-level executives and department leads, taking full ownership of follow-ups, coordination, and execution while maintaining clarity across multiple parallel initiatives. The Executive Operations Assistant acts as the connective tissue between leadership intent and real outcomes and is expected to exercise strong judgment, structured thinking, and independence in a fast-moving, founder-driven environment.

Responsibilities

  • Act as a trusted execution partner to C-level executives and senior leaders, owning end-to-end execution of executive requests from intake and clarification through prioritization, follow-up, and closure.
  • Track and enforce decisions, action items, and commitments across leadership and teams, ensuring progress and follow-through without drop-offs.
  • Drive cross-company initiatives forward through structured tracking, accountability, and proactive follow-ups.
  • Identify gaps, risks, or blockers early and escalate with clear context and proposed solutions.
  • Coordinate complex schedules, meetings, and workflows across time zones and functions while protecting executive focus and priorities.
  • Ensure meetings are purposeful and outcome-driven through clear agendas, preparation, documentation, and defined next steps.
  • Represent executives with accuracy in all internal and external communication.
  • Handle sensitive and confidential matters with precision and professionalism.
  • Apply critical thinking to ambiguous or incomplete requests, seeking clarity and direction rather than executing blindly.

Key Qualifications

  • 4+ years of experience in a senior Executive Assistant, Executive Operations, or equivalent execution-focused role, supporting C-level executives or senior leadership.
  • Proven experience working in startups or founder-led environments, with demonstrated ability to operate effectively amid ambiguity, shifting priorities, and limited structure.
  • Strong sense of ownership and accountability for outcomes.
  • Highly service-oriented with a positive, professional attitude.
  • Excellent organizational and time-management skills.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple tasks, dependencies, and changing priorities effectively.
  • Comfortable working across People, Operations, and senior leadership.
