The Role

We're looking for an experienced and highly organized
Office & Administrative Manager

to join our Tel Aviv office for approximately five months as a maternity leave replacement.

This role is central to the daily operations of Darwin AI, ensuring smooth coordination of schedules, meetings, travel logistics, and administrative processes.

You'll work closely with our CEO and leadership team, providing proactive support and helping the company run efficiently while maintaining the warm, people-centered culture that defines Darwin AI.

Core Responsibilities

Executive & Administrative Support

  • Manage the CEO's calendar, coordinate meetings, and handle scheduling across time zones.
  • Organize travel arrangements, including flights, accommodations, and itineraries.
  • Prepare materials and logistics for meetings, visits, and offsites.
  • Provide day-to-day administrative and logistical support to the CEO and leadership team.

Office & Operations Management

  • Oversee daily office operations, supplies, vendors, and facilities.
  • Coordinate company-wide logistics and internal communications.
  • Support process improvements and contribute to operational playbooks.

Finance & Documentation

  • Assist with invoices, reimbursements, and coordination with accounting.
  • Maintain organized records, contracts, and key documents in the company Data Room.

Employee Welfare & HR Support

  • Lead onboarding for new hires (welcome kits, setup, introductions).
  • Support employee welfare programs:HH, events, gifts, and team activities.

Qualifications

  • 3+ years of experience in administration, executive assistance, or office management (startup experience preferred).
  • Exceptional organizational skills and attention to detail.
  • Excellent written and spoken English.
  • Strong communication and interpersonal abilities.
  • A proactive, reliable, and solution-oriented mindset.
