We are looking for a highly organized and proactive Administrative Assistant to support the site Manager and site leadership team. This position supports multiple executives and provides broader administrative support for site-wide activities, including executive-level calendar management and hands-on assistance with various processes. The ideal candidate will thrive in a dynamic, fast-paced environment and demonstrate exceptional attention to detail and strong interpersonal skills.
What will YOU do?
- Manage complex calendars for multiple managers, including scheduling meetings, prioritizing appointments, and resolving scheduling conflicts.
- Provide full administrative support for site visits, both local and international, including logistics coordination and on-site support.
- Assist with employee international business travel arrangements, including travel itineraries, expense reporting, and approvals.
- Support and coordinate cross-site operational processes, including data tracking, process monitoring, and internal compliance checks.
- Provide logistical and administrative support for large-scale meetings and events involving multiple stakeholders.
- Serve as a point of contact for internal and external inquiries, ensuring professional and timely responses.
- Collaborate closely with other departments to ensure smooth execution of site-wide activities.
Your Skills & Abilities (Required Qualifications)
- Experience in a global company: familiarity with working across time zones and cultures.
- Fluent English: native-level proficiency in speaking, reading, and writing.
- Strong organizational skills and keen attention to detail.
- Excellent interpersonal and communication skills with a strong service-oriented mindset.
- Ability to coordinate across multiple interfaces and influence without authority.
- High level of proactivity , ownership, and a "can-do" attitude.
- Discretion and professionalism when handling sensitive information.
