Job Description

We are looking for an Office Admin (Maternity leave replacement)

As an office Admin, you will act as a strong cultural ambassador, bringing the best parts of esh into our day-to-day office operations. You'll be an integral part in creating a best-in-class workplace experience for our team members as well as our guests.

This is a temporary position of 6 months

Responsibilities

Front Desk Coordination

  • Ensure all visitors are greeted warmly, direct them to the appropriate person or department, and maintain a welcoming environment.
  • Ensure visitors sign in, manage visitor badges, and notify relevant staff members of arrivals.
  • Ensure the reception area is organized, clean, and professional at all times.

Office 

  • Oversee and coordinate all office administrative activities to ensure smooth daily operations
  • Serve as the main focal point in all parking-related issues. This includes managing the parking system, being the direct contact person for both internal and external parking garages and providing answers and solutions to employees in regards to parking issues. 
  • Manage office supplies, equipment, and facilities, ensuring everything is stocked and well-maintained.
  • Manage meeting room calendars, including meeting confirmations, and organize and schedule meetings as needed. Make sure meeting rooms are organized, clean and ready to use at all times. 

Administration

  • Serve as a focal point of contact for all employees for administration tasks
  • Support the HR department and assist with the company's welfare activities. 

General

  • Perform other duties ad-hoc special projects
  • Support the operations department in every other task required
Requirements
  • 5+ years of experience as a receptionist, office admin, front desk manager or administrative assistant in a startup environment, or equivalent administrative experience in a similar context
  • Experience working and coordinating with different vendors and business partners.
  • Experience managing corporate & executive calendars, meetings, and office correspondence (professional phone and email etiquette).
  • Vast knowledge of Microsoft Office and Google workspace
  • Impeccable written and verbal communication skills in both English and Hebrew
  • Willingness to work in a full time position from the office
  • Availability during non-routine hours, on occasion
