Job Description

Be the operative and administrative assistant of a small engineering company in the forefront of algorithmic engineering. Currently seeking a company employee to handle all administrative and operations tasks. The position is defined as full-time 8:30 – 16:30 flexible. The position entails handling the office environment, performing administrative tasks and providing support to coworkers. Managing schedules and assisting workers while working versus subcontractors to build new facilities.

Objectives of this Role

· Provide direct administrative support to CEO, including email correspondence, and generation and distribution of memos, letters, spreadsheets, forms, and faxes

· Keep track of all bookkeeping filings and correspondence.

· Ensure optimal operation of office equipment, supplies, and inventories with preventive

· Provide front desk coverage. Plan, organize, and schedule company meetings occurring in the office, offsite, and via video conference

· Take charge of company welfare, including organizing company events.

· Maintain filing system, contact database, employee list, and inventories

· Oversee and order office supplies and food deliveries for group meetings.

· Coordinate and handle shipment of samples and finished goods to clients.

Skills and Qualifications

· Ability to perform cold calls to prospect customers - must

· Experience handling suppliers, invoicing and gathering accounting documentation for an external bookkeeper

· Superb written and verbal communication skills

· Strong time-management skills and multitasking ability

· Proficient in Microsoft Office, Rivhit with aptitude to learn new software and systems

Preferred Qualifications

· College degree

· Experience managing budgets and expenses

· Experience as a back-office admin

· Comfortable handling confidential information
