Job Opportunity: Administrative and Executive Assistant Manager

Location: Remote (Israel-based preferred)

Part-Time (20–25 hours/week)

Or HaLev, a pioneering center for Jewish spirituality and meditation, seeks a detail-oriented and proactive Administrative and Executive Assistant Manager to support our financial systems and provide high-level administrative assistance to the Executive Director. This is a dynamic role that ensures the smooth operation of our internal processes and leadership functions across both Israel and the United States.

Key Responsibilities

Finance & Administration

Track and process organizational payments, expenses, and reimbursements

Assist in managing salary payments and contractor invoices

Oversee donation tracking, registration systems, and receipt management

Collaborate with the bookkeeper to ensure accurate financial reporting

Help maintain up-to-date grant budgets and reports.

Work with systems like QuickBooks, Zoho, CRM, WePay, Cardcom

Executive Support

Assist the Executive Director with scheduling, correspondence, and prep for meetings and board presentations.

Help prepare documents, presentations, and reports for board meetings and donors

Serve as a liaison for vendors and partners (e.g., researching retreat centers, venues, and accommodations)

Provide general logistical support for retreats, courses, and staff coordination

Take initiative to improve systems and processes across departments

Qualifications and Qualities

Fluency in Hebrew and English – Required

Strong organizational skills and attention to detail

Experience in nonprofit or administrative roles

Bookkeeping experience is an advantage

Comfortable using digital tools, spreadsheets, and financial systems

Clear communicator, with good judgment and discretion

Flexible, proactive, and reliable in a remote environment

Employment Details

Part-time: 20–25 hours/week

Remote work, with preference for candidates based in Israel

Flexible hours with timely responsiveness required

Compensation commensurate with experience
