Office Administration Manager

Responsibilities:
- Managing office operations and administration processes (front desk position)
- Ensuring ongoing maintenance and operations – handling service requests / maintenance issues, managing contractors and suppliers, and tracking task completion
- Liaising with the building management company – handling matters such as public area cleaning, maintenance, parking, etc.
- Receiving technicians and suppliers – coordinating and overseeing various maintenance tasks
- Fleet management – coordinating issues related to vehicle handovers, automated fuel payment, Highway 6 toll road, stickers, parking, etc.
- Overseeing office cleaning – handling ongoing management of the cleaner, ordering cleaning supplies, and monitoring service quality
- Managing credit cards – monitoring charges, reconciling documentation, and forwarding to the finance department
- Coordinating business travel abroad – working with travel agencies, handling requests from employees and managers, and monitoring reports and expenses
- Managing calendars – scheduling meetings and managing the calendars of two managers
Requirements:
- Previous experience in an administrative/operational role – mandatory
- Organization, precision, attention to detail, and ability to manage multiple tasks simultaneously
- Service-oriented approach with positive attitude
- Assertiveness and ability to drive processes and interfaces (looking for a powerhouse who knows how to lead and motivate – very important)
- Full proficiency in Microsoft Office – mandatory
- Responsible, proactive, ability to work in a team and collaborate with top-management interfaces
- Good level of English – advantage
